Farm Event Planning Checklist
Work through these questions before spending money or announcing dates. For each item, record the office, answer, source, and next action. Check the box when you have addressed it; a checkmark is not permission to operate. If a feature is not planned, say so in the notes.

Research phase
-
Confirm the state, parcel, county, and municipality with the planning office. Record which office handles each topic; ask about other authorities serving the property.
-
Save the official title, URL, section, date read, definitions, and exceptions. Ask whether recent amendments or replacement forms change what you found.
-
Describe each activity in ordinary words, then record the category the responsible office uses. For example: picking apples, riding a wagon, eating samples, or renting a barn.
-
Write each unanswered question with a person to contact and a date to follow up. Record “not yet answered” instead of treating silence as permission.
Planning phase
-
Ask planning or zoning staff about the parcel’s zoning district, event-use category, repeat dates, attendance, hours, and vendors. Get any application steps and lead times.
-
Show the building and fire offices a sketch of barns, tents, stages, exits, and emergency access. Ask about public use, maximum people present, and inspections.
-
Give the health or food-safety office a product and vendor list, including samples and preparation locations. Ask about water, handwashing, toilets, and wastewater.
-
Tell the state alcohol authority who buys, supplies, serves, and charges for drinks, including drinks bundled with admission or brought by guests. Ask who needs authorization, if anyone.
-
Describe animal contact, handwashing, waste handling, rides, wagons, equipment, operators, and riders’ ages. Ask which animal-health and ride offices handle each feature.
-
Describe overnight units, nights offered, cooking, water, toilets, and wastewater. Ask planning, health, and lodging offices how the arrangement is classified.
-
Trace the visitor journey from parking to paths, toilets, sales areas, and activities. Ask the building office and an accessibility adviser what access arrangements to check.
-
Identify the road owner and entrances. Show parking, overflow, buses, pedestrian routes, and emergency access; ask what traffic or access steps apply.
-
Give the relevant local and road offices the location, size, and duration of signs. Include event hours, sound, lighting, and any fireworks when asking about limits.
-
List tasks, ages, hours, pay, and supervision. Ask the labor department and worker-insurance adviser about employees, contractors, volunteers, and young workers.
-
Send the insurer the full activity and vendor list. Ask about exclusions, visitor injuries, vehicles, animals, alcohol, and any required evidence of vendor cover.
-
Ask a qualified adviser about agreements, cancellation terms, participant ages, signatures, and what waivers can and cannot do for these activities.
-
Separate admission, produce, food, rentals, lodging, and online sales. Ask the revenue or registration office what forms, collections, filings, and deadlines apply.
This checklist provides research prompts. It does not establish the rules for a property. Find the official text and the right office, then keep the answer and its conditions with your notes.
